Plenary Session speakers are invited to participate by the NDIA Environment & Energy Security Division and will receive instructions from our Plenary Session Coordinators.

Technical Session (concurrent tracks) speakers should follow the instructions below:

As you prepare your presentations for the 2010 Environment, Energy & Sustainability Symposium & Exhibition, please remember that this is an open, unclassified meeting.  The attendees are from government, industry, non-governmental organizations, and media, from the United States and from foreign nations.  Therefore, in compliance with the U.S. Public Affairs Disclosure Policy, all presentations must be cleared for public dissemination.  Government speakers should follow their organization security and policy review procedures.  Industry and academia speakers making presentations related to government contracts should clear their presentations through their respective government contracting office.  If the presentations from industry and academia do not relate to a government contract, the presentations should be processed through their respective company or institution's Public Affairs office.  Foreign national speakers should clear their presentations in accordance with their respective government's procedures.

The following information should assist you in preparing for the conference.  To meet the speakers' audio-visual requirements, the following will be available in each presentation room: a podium, podium microphone, a PC-based computer with Windows XP, and SVGA data projector and screen.  None of the rooms have internet connections.

Your Presentation Slot in the Program

Presentations
All abstracts accepted will be presented at the conference. If there are multiple authors, the primary author who submitted the abstract is the one whose name will appear in the official Symposium Brochure. Additional authors will be listed in the Onsite Brochure.

Presentation Format
Presentations must be submitted in PowerPoint format using PowerPoint 2007 or older. Electronic presentation (LCD Projection) will be utilized at the conference. It is recommended that presenters minimize the use of embedded animation and sound, including video clips, to decrease the chances for incompatibilities. In your presentations, the recommended font size to use should be no smaller than Arial Font size 16. This will make your presentation and your graphs easier for the attendees to view.

Presentation Length
Concurrent Technical Track presentations have been given a 30 minute time allotment. Typically, plan for a 20 minute presentation and 5 minutes of Q&A. The last 5 minutes will be used for attendees to move to another room for their next session. Session chairs will call time if you start to exceed your allocated time, as it is their job to assure that the entire conference remains on schedule. 

Biographical Sketch Due Date
All designated presenters should prepare and submit a short biographical sketch suitable for use as the presenter’s introduction at the conference. Bio sketches were submitted to the NDIA abstract site along with the original abstracts, but if your submittal has changed, please email the updated copy to Kari King at kking@ndia.org. Bio sketches should include name, organization, position title, and key points of presenter’s career and job functions.

Presentation Submission and Due Date
All presentations will be loaded to the computers in advance to avoid delays and set-up problems. Presentations are due to NDIA no later than May 28, 2010.  Presentations must be uploaded to the NDIA website by selecting the link below and following the instructions.

You must know your Abstract ID Number to upload your PowerPoint into the system.

If your presentation is part of a Build Your Own Session and does not have an Abstract ID, you must email your presentation to kking@ndia.org, or mail it on a CD or USB to the address below.

If your presentation fails to load into the system, please e-mail your PowerPoint to Kari King at kking@ndia.org no later than May 28, 2010.  Alternatively, you may mail your electronic presentation with abstract number to:

Back-up Presentation Material
It is recommended that presenters bring with them a back-up of their presentation using CD-Rom or USB storing device. 

After-conference Publication
At the completion of the conference, all presentations will be posted to this website under Past Meetings.  If you do not want your presentation to be included you must inform Kari King at kking@ndia.org upon submission of your presentation.

Conference Registration
All presenters must register for the symposium and pay the registration fee, per standard NDIA policy. Register online or by fax/mail. Click the Registration tab above for more information.

The following is provided as part of the symposium registration fees:
Continental Breakfast on Tuesday, Wednesday and Thursday
Heavy Reception on Tuesday evening
Lunch Tuesday, Wednesday and Thursday
Coffee Breaks mornings and afternoons, Tuesday, Wednesday and Thursday

Hotel Reservations
Hotel information is located under Lodging on the Location page (tab above). Reservations can be made by calling the hotels directly. All presenters must make their own hotel reservations. Rooms will not be held after May 21, 2010 and may sell out before then. Rates are also subject to increase after this date.
